Activities and Events Coordinator - Trimble County Public Library

Position Summary:

The Activities and Events Coordinator is responsible for planning, coordinating, promoting, and evaluating engaging library programs and community events for patrons of all ages. This position also supports community outreach while providing exceptional customer service. Working collaboratively with library staff, schools, local organizations, and community partners, the Coordinator helps expand awareness of library services while creating welcoming opportunities for learning, creativity, and community connection.
The ideal candidate is creative, energetic, organized, technologically proficient, and passionate about serving the public. This position requires flexibility, initiative, excellent communication skills, and the ability to manage multiple projects while fostering positive relationships throughout the community.

Reports To: Library Director

Supervises:

This position does not directly supervise staff but may oversee volunteers, interns, or staff assigned to assist with programs, outreach activities, and special projects.

Essential Duties and Responsibilities:

Activities, Events & Community Outreach

  • Develop, coordinate, implement, promote, and evaluate engaging library programs, special events, and educational activities for children, teens, adults, families, and multi-generational audiences.
  • Coordinate outreach services and activities at schools, community organizations, senior centers, festivals, and other locations.
  • Build and maintain collaborative relationships with schools, nonprofit organizations, businesses, and community partners.
  • Represent the library at community meetings, outreach events, and public presentations.
  • Assist in identifying community needs and developing new programs and services that support the library's mission.
  • Coordinate special initiatives such as the Dolly Parton Imagination Library and other community partnerships as assigned.
  • Collect, maintain, and analyze attendance and participation statistics.

Customer Service & Library Operations

  • Provide exceptional customer service to patrons in person, by phone, and electronically.
  • Assist patrons with circulation services, library accounts, readers' advisory, reference questions, digital resources, and general library services.
  • Assist patrons with public computers, mobile devices, printers, copiers, and online resources.
  • Participate in opening and closing procedures as assigned.
  • Help maintain an organized, welcoming, safe, and attractive library environment.
  • Assist with shelving, displays, merchandising, and other daily library operations.
  • Support coworkers and assist with library-wide projects and events as needed.

Collection Development & Professional Responsibilities

  • Assist with collection development, material selection, and collection maintenance as assigned.
  • Pursue continuing education and professional development opportunities.
  • Maintain accurate records, reports, and statistics.
  • Recommend improvements to library services, workflows, and operational efficiency.
  • Perform other duties as assigned to support library operations and community service.

Qualifications:

Required

  • Bachelor's degree from an accredited college or university.
  • One year of experience in libraries, education, event planning, communications, customer service, or a related field. Equivalent combinations of education and experience may be considered.
  • Excellent interpersonal, written, and verbal communication skills.
  • Strong organizational, time management, and problem-solving abilities.
  • Ability to work independently while contributing effectively as part of a team.
  • Valid driver's license with an acceptable driving record.
  • Ability to safely operate the library outreach vehicle.
  • Kentucky Department for Libraries and Archives certification or the ability to obtain certification within 5 years.
  • Successful completion of a criminal background check and drug screening prior to employment.

Preferred

  • Experience planning and coordinating programs, events, or community engagement activities.
  • Experience working with children, families, and community organizations.
  • General knowledge of public library operations and services.

Physical Requirements:

This position requires frequent sitting, standing, walking, bending, reaching, lifting, carrying, and repetitive hand movements. Employees must be able to use computers and other office equipment for extended periods, move library materials, and safely lift up to 40 pounds. The position also requires pushing or pulling fully loaded book carts weighing up to 100 pounds. Programming responsibilities may require sitting on the floor, leading interactive activities, and participating in movement-based programs with children and families.

Work Schedule:

This is a full-time position working 37.5 hours per week. Evening and weekend hours are required as part of regular library operations, programming, outreach, and community events. Occasional off-site work and travel within the community are expected.
