Job Description

This law firm in Baltimore, MD is seeking a skilled Legal Administrative Assistant to serve as an indispensable resource to the litigation team, providing high-caliber administrative and procedural support in a fast-paced, detail-driven environment. This is a role for a professional who understands the rhythm of a litigation practice, thrives under pressure, and takes genuine pride in the quality and confidentiality of their work. If you are energized by complex, deadline-sensitive work and want to contribute meaningfully to a team where your expertise will be both recognized and relied upon, we encourage you to apply.

Key Responsibilities:

  • Draft and manage a high volume of sensitive correspondence and legal documents, ensuring accuracy, appropriate formatting, and strict confidentiality throughout.
  • Coordinate litigation logistics including preparation of trial materials, deposition organization, and exhibit compilation for court filings.
  • Monitor and process electronic court notifications, ensuring timely response and accurate record-keeping across all relevant filing systems.
  • Maintain organized, up-to-date case files, client materials, and documentation.
  • Manage calendars, schedule appointments, and arrange travel and meeting logistics for attorneys.
  • Serve as a professional point of contact for internal colleagues and external parties, maintaining a polished and courteous presence across all interactions.
  • Proofread and edit correspondence, reports, and legal materials for structural accuracy and typographical precision using standard editing marks.
  • Contribute to a collaborative, positive work environment by demonstrating initiative, dependability, and a commitment to quality.

Why You’ll Love Working Here:

  • A firm that prioritizes the full well-being of employees with comprehensive health benefits, wellness initiatives, and professional development opportunities.
  • Competitive pay and an impressive benefits package, including medical, dental, vision, 401(k), paid time off, and more.
  • This role offers a hybrid work model with three days in office per week.

What We’re Looking For:

  • Litigation-rooted experience. You bring at least two years of legal administrative experience, with hands-on exposure to litigation support specifically. This isn’t a role for generalists—it’s a role for someone who knows the practice.
  • Court-savvy. You are well-versed in electronic filing procedures across multiple court systems and have direct experience navigating PACER with confidence.
  • Tech-proficient. You command advanced functionality in Microsoft and additional programs such as document management systems.
  • Detail-oriented. Whether you’re proofing a brief or formatting a complex table, you catch what others miss and deliver work that reflects a high standard of professionalism and accuracy.
  • Dependable. You understand that confidentiality isn’t optional in a legal environment, it’s foundational.
  • A clear communicator. You interact with attorneys, clients, and staff with poise and tact, conveying information clearly and following through on every commitment with a high degree of courtesy.

The salary listed reflects the anticipated compensation range for this position. Actual compensation will be determined based on relevant experience, qualifications, location, business considerations, and internal equity. Final offer amounts are determined at the employer’s discretion.

To apply, please send a resume to legal@hawthornelane.com.
